Please read this document in order to understand how we operate, treat any data we may have collected about you and get to know your rights and responsibilities if you embark on an inspirational journey with us.
This is how we will process your data
Terminology:
Attendee – a person attending an event online or live (general public, employees, sponsor’s representative, exhibitor’s representative etc.)
Organisers – a company organising an event (i.e. Holistic Europe and/or any other company working with Holistic Europe on organising an event)
Trainer - a speaker, presenter or teacher delivering a topic
Force Majeure – uncontrollable event (fire, national emergency, labour dispute, strike, lock-out, civil disturbance, act of terrorism, accident, the non-availability of the venue or any other cause not within the control of the Organisers)
Partner – a company, charity or individual working with Holistic Europe on an event (e.g. exhibitor, workshop organiser, event organiser, supplier etc.)
Venue – a location of an event
General
1. About Us
At Holistic Europe we organise conferences, training sessions and workshops in various venues around Europe or online, working with other companies and experts.
2. Data Protection
By submitting registration details, Attendees/Partners agree to allow Holistic Europe and companies associated with the event to contact you as required for the organisation and administration of an event.
3. Disclaimer
The organisers make every effort to provide accurate available information but it does not guarantee that the information provided is always current. Organisers do not warrant or make any representations as to the content, accuracy or completeness of the information, text, graphics, links and other items contained in their events. The organisers make no warranties, express or implied as to the fitness of the information for any purpose, or to results obtained by individuals (e.g. attendees or partners) using the information and is not responsible for any action taken in reliance on the information contained herein.
The events are not intended to be a complete presentation of all problems and issues for any topic. It is also generic and may not be accurate for circumstances of the attendees/partners. The organisers therefore make no guarantees, or assume any responsibility for the correctness, sufficiency or completeness of the material presented.
The information provided to attendees does not constitute legal or other professional advice or guidance.
By attending any event, the attendee/parter agrees that the organisers shall not be held liable for any type of loss or damage that could be construed as arising from information provided at this event. The organisers do not take any responsibility for inappropriate use or application of information or instruction provided in their events.
4. Photography and Filming
Holistic Europe may arrange for photographs and/or video footage to be taken at events and used for promotional purposes and/or for event recording. This may include printed documents, editorial coverage, recorded videos for sale, advertising materials etc. and such material may also be used on the Internet.
Attendees/Partners who do not wish for their image to be used in this manner must notify us at info@holistic-europe.com prior to the event.
5. Payments & Confirmation Details
All event bookings must be paid in full to guarantee registration. Once payment has been received, Attendees/Partners will receive an email confirmation. Should an attendee require a VAT invoice he/she has to request it at info@holistic-europe.com. If payment is not made at the time of booking, registration will only be provisional.
6. Early Bird Rate
In order to qualify for any 'early bird' rates, booking and payment must be received before the deadline date listed in the event marketing material.
7. Substitutions & Cancellations of Live Events
Attendees/Partners may nominate an alternative person to attend up to 24 hours prior to the start of the event, at no extra charge. Should substitution not be possible, cancellation charges apply as follows:
· 6 to 3 weeks prior to start of event: 50% of the delegate fee;
· less than 3 weeks prior to start of event: 100% of the delegate fee
All substitutions and cancellations must be sent to info@holistic-europe.com.
8. Access Requirements to Live Events
Attendees/Partners should advise of any special access requirements at the time of registration at info@holistic-europe.com.
9. Event Cancellation/Alternation & Force Majeure
Holistic Europe reserves the right to make alterations to the event programme, venue and timings.
In the unlikely event of the programme being cancelled by Organisers due to sickness or something else outside of their control, a replacement date will be proposed along with a discount of 5% of the agreed fee as compensation
If the event is abandoned, cancelled or suspended in whole or in part by reason of Force Majeure, the Organisers may at their entire discretion, repay the delegate’s fee, or part thereof, but shall be under no obligation to do so. The Organisers shall be under no liability to the Attendees/Partners in respect of any actions, claims, losses (including consequential losses), costs or expenses whatsoever which may be brought against or suffered or incurred by the attendee, as the result of the happening of such an event.
10. Trainers
Views expressed by trainers are their own. Organisers cannot accept liability for advice given, or views expressed by any trainer at the event or in any material provided to Attendees/Partners.
11. Websites & Links
The event and associated Holistic Europe websites may link to other websites and networking tools provided for the convenience of the Attendees/Partners. The contents of these websites are maintained by their owners, for which the Organisers take no responsibility. Neither can responsibility be taken for contents of any website linking to the Holistic Europe website.
12. Insurance
It is the responsibility of the Attendees and Partners to arrange appropriate insurance cover in connection with their attendance at an event. Organisers cannot be held liable for any loss, liability or damage to personal property.
13. Trainers’ Terms and Condition
Organisers may use the trainer’s name and presentation materials for promoting delegate attendance at the conference.
13. Presentations and papers including all associated artwork and illustrations will not be returned unless specifically requested by the author. The papers must be objective and completely free of advertising and commercialism.
14. Organisers may audio and/or video tape the trainer’s session and the recording may be reproduced and sold as part of the overall event material. This allows Attendees/Partners to purchase audio/video copies of presentations that they may have been unable to attend.
15. Organisers may reproduce copies of the trainer’s presentation (e.g. PowerPoint slides or supporting handouts) on paper and/or electronically and these may be sold as part of the overall hand-out materials during the conference and after the event. Any acknowledgement regarding Copyright or support should be included at the end of the abstract/presentation, as these may be distributed to the conference Attendees/Partners.
16. Trainers who do not wish to give permission for the above terms and conditions, please email info@holistic-europe.com before the commencement of the event.
14. Partners’ Terms and Conditions
A written contract must be submitted for all events. Completion of the contract is binding confirmation of your or your company’s commitment to:
· take the space booked;
· organise a workshop or any similar event;
· provide services etc.
and of your acceptance of these terms and conditions including the cancellation policy.
By signing the contract, the Partner accepts without reservation the following:
· the terms of the contract;
· all regulations contained in these terms and conditions and any reasonable instructions subsequently issued by the Organisers;
· all regulations laid down by the venue including, but not limited to, security, health and safety, fire protection and traffic;
· all relevant Health & Safety regulations.
The Organisers reserve the right to alter the layout of the event at any time and in any respect. The Organisers will always endeavour to contact affected Partners should this be required.
The Organisers will allocate display space to exhibiting Partners; requests for location will be taken into account where possible but cannot be guaranteed.
Exhibiting Partners commit to keeping their displays and furniture within the allocated floor space at all times.
It is the responsibility of the Partners to ensure that their staff and any supplier/contractor working on their behalf are familiar with and abide by all current local Health and Safety regulations. The Partners are responsible for the health and safety of their stand and personnel during installation, use and dismantling.
In order to create and maintain a safe environment at all times, all Partners must abide by the instructions from the Organisers and/or the venue.
All deliveries of exhibition stands and material to the venue and to the exhibition space must be handled by the Partners and/or their delivery personnel.
Each exhibiting Partner is responsible for the security and insurance of his own display and its contents.
Exhibiting Partners must hold their own public liability insurance and, if applicable, employers liability insurance. Certificates should be available for inspection if required.
Under no circumstance may exhibition equipment and material be delivered prior to the exhibition set up time, without the express permission of the Organisers.
All exhibition materials must be removed immediately following the event. Failure to comply may result in fees being levied. Storage facilities are not available at venues.
Breakdown of display, or removal of display items, may not commence before the official closing time of the exhibition.
Any exhibiting Partner failing to remove their stand and all other items from the venue by the prescribed times will be held liable to pay any penalties that may be imposed by the venue.
It is the responsibility of the Exhibitor to ensure all electrical equipment is safe and meeting relevant local regulatory requirements.
Any damage caused to the venue by Partners must be made good at their own expense.
In the event of a Partner becoming bankrupt or insolvent, on entering into liquidation or having a receiver, administrator or trustee appointed over any of its assets, the Organisers shall be at liberty to terminate forthwith the contract with the Exhibitor and the terms and conditions relating to cancellation of space set out in clause 6 shall apply.
All Partners’ staff shall wear the identification badges issued by the Organisers.
It is recommended that Exhibitors take out appropriate insurance against cancellation.
By signing the contract, Partners agree to allow the Organisers and companies associated with the event to contact them as required for the organisation and administration of the event.
The contact details of the Partners will be placed on the Partners list. This list will be provided to sponsoring companies and may be provided to all Exhibitors and Attendees/Partners for them to see who is at the event for the purpose of networking and meetings. Partners who do not wish to be included on this list should advise the Organisers at the time of booking via email to info@holistic-europe.com.
The Partner shall during and after termination or expiry of the Contract keep confidential all information acquired from the Organisers, which is not in the public domain, which becomes known to the Partner in connection with the Contract.
Each Attendee and Partner shall be deemed to have full knowledge of the General Part of these Terms and Conditions and any other part of these Terms and Conditions that is relevant for them and is bound by them in all respects.
